Teams Facilitator will answer the question everyone in the meeting went quiet on
By Brett Gavaghan, Founder of Adaptd ·
Microsoft is adding a Facilitator to Teams meetings that spots an unanswered question, searches the web and posts an answer in the chat. It reaches Copilot customers from November.
The short version
- Teams Facilitator is a Copilot feature that answers unanswered questions in a meeting by searching the web and posting in the chat.
- It needs a Microsoft 365 Copilot licence and rolls out from early November, reaching all customers by mid-December 2026.
- Decide now whether it should join client meetings, and tell your team to check its answers before anyone repeats them.
Every meeting has that moment. Someone asks a simple factual question, five people look at the ceiling, and the conversation moves on without an answer. Microsoft wants Copilot to fill that silence.
What is Teams Facilitator?
Teams Facilitator is a Microsoft 365 Copilot feature that listens for questions or uncertainty in a Teams meeting, runs a web search and posts an answer in the meeting chat when nobody else responds.
Microsoft says it speaks up rarely, usually less than once a meeting. Picture the colleague who stays quiet until the room has clearly given up, then politely slides a link into the chat.
Who can use it, and when?
Teams Facilitator needs a Microsoft 365 Copilot licence for the person who adds it, though other people in the meeting don't need one. It's off by default and has to be added to each meeting by hand.
Microsoft's timeline has early November for Targeted Release, then general availability from mid-November to mid-December 2026. It works in standard Teams meetings only, not calls, webinars or town halls. Admins can switch it off for the whole organisation, and it won't answer at all if Copilot web search is turned off.
Should your business use it?
Teams Facilitator suits internal meetings, where a quick answer to 'what's the GST threshold again?' saves a follow-up email. Client meetings are a different call, because the answer comes from a web search and lands in a chat your client can read.
My take: try it in team meetings first and agree on one rule, that nobody quotes Facilitator to a client until a person has checked it. It's a helpful tool. It's also a confident stranger who read one web page and wants to share.
