Google Vault can now export your team's Gemini chats, so the AI conversations finally get a drawer in the filing cabinet
By Brett Gavaghan, Founder of Adaptd ·
From 22 October, Workspace admins on Business Plus and higher plans can export staff Gemini conversations through Google Vault.
The short version
- Google Vault can now find and export the Gemini conversations staff have inside Gmail and other Workspace apps.
- It's available now on Business Plus and higher plans, or with the Vault add-on.
- Decide how long your business keeps AI chat history, and set it in the Admin console before you need it.
If your staff ask Gemini to draft a client email or summarise a contract, that conversation is part of how the work got done. Google now treats it like any other business record.
What changed in Google Vault?
Google Vault now supports filtered exports of Gemini in Workspace conversations, Google announced on 22 October. Admins can export the Gemini chats people have inside Workspace apps such as Gmail and Docs, filtered by person or team and by date.
Exports come as JSON files and include each prompt and response, plus images Gemini generated and links to the files and sources it used. Vault only captures conversations created while conversation history was turned on.
Which Workspace plans include it?
Gemini exports in Google Vault are available now on Business Plus and on the Enterprise, Frontline and Education plans that include Vault, or with the Vault add-on. Business Starter and Business Standard don't include Vault.
Admins can export up to 5,000 users at a time, and API access follows within 14 days. Google says retention rules and legal holds for these conversations will come in later releases.
What should your business do about it?
Your business should decide how long it keeps AI chat history, because those conversations can now be searched and exported like email. Admins can set conversation history and automatic deletion by team in the Admin console.
My advice: if you're in a regulated industry or ever deal with disputes, keep history on and set a sensible retention period. If you're not on Business Plus, this is still a good prompt to write down your rules for AI chats. It's a bit like a will: nobody enjoys sorting it out, but you're glad it's done.
Assume anything you type into a work AI could end up in a folder one day.
